Knowing who has the course assigned and what status each one is in, without leaving the course.
Enrolling specific people, instead of assigning it to the entire organization.
Extending the deadline for those who didn't finish in time, without having to reassign the course from scratch.
Seeing a person's complete journey: when they started, which sections they completed, and how they did on the quiz.
Knowing if the course was assigned to them because of a phishing simulation they fell for.
Removing enrollments that were assigned by mistake.
Go to a course's enrollments
In the side menu, Academy → Courses. Open the course you're interested in and go to Enrollments.
Read the table
Each row is an enrolled person, with: Personal ID, Employee, Email, Department, Groups, Course, Enrollment Date, Expiration Date, and Status.
The possible statuses are:
Pending — has the course assigned and is still within the deadline.
Expiring soon — has 30 days or less until the expiration date.
Expired — the deadline passed and they didn't complete it.
Completed — they finished it. The row also shows the date they completed it.
Updated - Redo — the course changed after this person took it, so they have to take it again. The row shows the date of the last update.
Unassigned and Removed — for enrollments that were removed.
Enroll someone new
At the top right, the Enrollment Management button → New Enrollment. It asks for three things:
Start Date — from when the person can take the course.
End Date — the deadline. It has to be later than the start date.
Employees — a table where you check one or more people.
That table only shows people who aren't already enrolled in this course. If you search for someone and don't find them, it's because they already have the course assigned: you'll see them in the Enrollments table, not in the enrollment form.
Extend the deadline for those who didn't finish in time
Enrollment Management → Reschedule. You choose a new end date, which can't be earlier than today, and check which enrollments to extend.
Only enrollments in Expired or Pending status can be rescheduled. Those already completed don't appear on the list, and neither do those that are expiring soon: if you need to extend one of those, you have to wait for it to expire.
Remove enrollments
You have two options:
One at a time: the row's three-dot menu → Delete, with confirmation.
Several at once: Enrollment Management → Delete multiple enrollments, which lets you check the ones you want and warns that the action will delete the selected ones.
A deleted enrollment doesn't disappear from the table: it stays with a Removed status and its actions menu disabled.
View a person's history
The row's three-dot menu → History. This opens the Course Enrollment History, a timeline with the entire journey:
The course assignment, with the date.
If the enrollment came from a campaign, the "From phishing simulation" mark.
When they started the course.
Each completed section.
The quiz: passed or failed, with the score and the required passing percentage.
The closing: completed, passed, or not passed, with its date.
That's because they're already enrolled in that course. The New Enrollment table only shows those who don't have it assigned yet. Look for them in the Enrollments table to see what status they're in.
No. Reschedule only accepts Expired or Pending enrollments. If the person has less than 30 days left, their status is "Expiring soon" and they won't appear on the rescheduling list.
The enrollment stays listed with Removed status and can no longer be acted upon. If you need the person to take the course again, enroll them again: that creates a new enrollment, with its own deadline.
Because that course wasn't assigned to them by a person: the platform assigned it automatically when they fell for a phishing simulation set up with training assignment.
Yes, the New Enrollment table lets you check as many as you want. But if what you're looking for is to assign one or more courses to the entire organization, it's better to use Multiple Assignment, which has its own documentation.
