Make the portal your employees log into, and the certificates they download, carry your company's color instead of Whalemate's.
Have your own access address to share with your people, instead of a generic one.
Define the name and job title of whoever signs the training certificates.
Notify by email the people who need to know every time a campaign is created.
Remind anyone with pending training that it is about to expire, with the notice days you choose.
Navigation: Settings → General
Pick one of the 18 colors in the palette. It is not a text field: you select it by clicking the circle.
That color is applied to the employee portal —buttons, links, and accents— and to the PDF certificate downloaded by whoever completes a course. The administration panel does not change color.
It is your company's identifier inside the platform, and it builds your access address: academy.whalemate.com/#/your-slug.
Write it as a single word. It is normalized automatically when you save —uppercase becomes lowercase, spaces become hyphens, and accents are removed—, so «My Company Inc» ends up as my-company-inc.
Your branded address only changes what a person sees before logging in: entering through it, the sign-in screen already shows your logo and your color. Once they log in, every person sees their own company's branding, no matter which address they came through. And if the address carries a slug that does not exist, Whalemate's branding is shown instead.
Changing the slug retires the previous address. If you already shared it by email or published it on your intranet, anyone using the old link lands on the generic sign-in screen. It is worth announcing the change before you save it.
Type the number of days in Add reminders (days) and click the plus button. You can add several: each one stays in the list as «X days before it expires», and the red icon removes it. It only accepts whole numbers from 1 upward. While there is none, the screen warns that «At least one reminder is recommended».
The reminder reaches the person in the morning of the day when that many days are left before expiration, and only if they have not completed the training yet. It applies to courses as well as learning paths.
Two conditions explain why a reminder sometimes does not arrive:
It is not sent if the enrollment's full deadline is shorter than the configured days. If you set a 15-day notice and assign a course with a 7-day deadline, that notice never goes out.
If the Academy Notifications switch is off, no reminder is sent at all, even with days loaded here.
Type one or more addresses. If any is misspelled, on saving you get «There is an invalid email address.» and the change is not applied until you fix it.
Those addresses receive an email with the subject «Campaign created: » followed by the name of the template used. It is sent once per campaign and during the nightly processing, so it is not an immediate alert: create a campaign in the afternoon and the email arrives in the early hours of the next day.
There are two fields, Signer name and Signer position, and that is what gets printed at the bottom of the training certificates. The name suggests the panel users you already created, but you can type any person.
The signatory is stored inside each enrollment at the moment you enroll the person. If you change it later, certificates for people who were already enrolled keep showing the previous signatory; the new one applies only to enrollments you create from then on.
The Save button at the bottom applies every block of the tab at once.
The brand color, the slug, and both signatory fields are required. If the signatory is empty —common in accounts that never filled it in— you will not be able to save any other change on this tab until you complete it.
Further down, the tab includes a Danger Zone with the deletion of all records, which has its own documentation.
That is the expected behavior: the signatory is stored along with each enrollment when you create it, so certificates from earlier enrollments keep the one configured that day. For the new one to show, the enrollment has to come after the change.
Check two things: that the Academy Notifications switch is on, and that the enrollment's deadline is longer than the reminder days. A 15-day notice is not sent for a course assigned with a 7-day deadline.
No. It applies to the portal your employees log into and to the PDF certificates. The administration panel keeps Whalemate's colors.
The logo is not uploaded on this screen. If the one showing in the portal is not the right one, write to us through the support chat and we will update it.
It is normalized on saving, on purpose, because it is part of a web address: it goes to lowercase, spaces become hyphens, and accents are removed.
